What you can plan

Keep the long arc and this week's prep on the same board, so preparing a session is reading the board rather than rebuilding it.

Session prep

One card per scene, in the order you expect them, with the stat blocks, read-aloud text and maps attached to the scene they belong to.

NPCs and factions

Connect an NPC to the faction that employs them and the rival who wants them gone, so a name the party remembers is one you can place instantly.

Locations and maps

Drop a map image on the board and give the town its own sub-board with the shops, the rumours and the people who live there.

Plot hooks and branches

Lay out where the party might go and what happens if they do. Connections make the consequences visible before the table finds them.

Rules and homebrew

Keep house rules, custom items and the subclass you are testing in cards beside the encounters that use them.

What actually happened

Add a card after every session with the choices the party made. Next week's prep starts from what the table did rather than from what you planned.

Set the world in place

Put the region, the factions and the handful of people who matter on the board, and connect the ones who want something from each other.

Prep the session in front of you

Build the scenes you expect, attach the maps and stat blocks, and leave the branches you are not sure about as connected cards.

Update it at the table, or after

Note what the party chose, move the hooks they ignored, and the campaign board stays accurate instead of becoming fiction.
